AI Document Processing
Documents In,
Clean Data Out
Contracts, invoices, applications and intake forms arrive as PDFs, scans and email attachments. We build AI pipelines that read them, pull out the data you need, check it, and put it into your systems, with uncertain fields sent to a person.

The Problem
Someone Is Retyping Every Document You Receive
Dates, names, amounts and terms go from a PDF into a CRM, a spreadsheet or an accounting system by hand. It's slow, it's error-prone, and older OCR tools broke whenever a document's layout changed.
Current AI models read documents more like a person does: they understand that "Effective Date" and "Commencement" mean the same thing, whatever the layout. Paired with validation and a review step, they're accurate enough to replace most manual entry.
Typical documents:
Contracts and agreements
Parties, dates, amounts, renewal and termination terms.
Invoices and receipts
Vendor, line items, totals and tax, matched to orders.
Forms and applications
Intake forms, applications and questionnaires, including scans.
The Pipeline
Built to Be Checked
Accuracy comes from the process around the model, not the model alone.
Capture
Documents arrive by email, upload, shared folder or from another system's API.
Extract
The AI reads each document and fills a strict schema: every field you need, nothing extra.
Validate
Rules check the result: dates parse, totals add up, required fields exist, values match your records.
Review
Anything uncertain lands in a simple review queue with the source highlighted. Everything else flows through.
Load
Clean data goes into your CRM, accounting, practice management or database.
Measure
Accuracy, review rate and cost per document tracked from day one.
How It Works
Prove It on Your Own Documents
Sample set
You send 20–50 real documents and tell us which fields matter.
Pilot
We extract them and report field-by-field accuracy and cost per document ($3,500–$6,000).
Production
Connected to your intake and your systems, with the review queue and monitoring.
Managed
We run it from $300/mo and retune when new document types show up.
FAQ
Questions About AI Document Processing
Still have a question? Call (713) 936-9330 or send us a note.
How accurate is AI data extraction?
On typed, reasonably consistent documents, current models get most fields right, and validation catches many of the rest. Accuracy depends on your documents, so the pilot measures it on a sample of yours before you commit.
Can it read scanned or handwritten documents?
Clean scans, yes. Handwriting varies: neat block printing often works, cursive and poor scans need more human review. The sample-set test will show where your documents fall.
What does document processing cost per document?
The AI cost is usually a few cents to a few tens of cents per document, depending on length. Build cost starts with a fixed-price pilot ($3,500–$6,000); managed plans start at $300/mo.
Where do our documents go?
Through the AI provider's business API under terms that exclude training, and into storage you control. We document exactly where each document and field goes, and can delete source files after processing if you prefer.
Can it handle documents in different layouts?
Yes, and that's the main advantage over template-based OCR. The model reads the content, not fixed positions on the page.
